HEBE COTTAGE PRIVACY NOTICE

This notice explains how we collect, use, share and protect your personal information.  In order to hire Hebe Cottage for your holiday we require personal information to understand who we are hiring the cottage to and to administer the return of the refundable damages deposit.

What information do we require and why?

When you approach us to hire Hebe Cottage we collect your name, address and contact information such as telephone numbers and email address.  This information is required for us to contact you with information about the cottage for your holiday and after your holiday for administering the refundable damages deposit.  On a voluntary basis we request your bank details so that the refundable damages deposit can be returned where appropriate by electronic bank transfer.  If you choose not to provide your bank account details we will make refunds due via cheque in the post.
Although we do not request a date of birth, we also require confirmation that the you are 18 years old or over.  We require this since when you hire Hebe Cottage you enter into a contract with us, and in the UK the age of ‘contractual capacity’ for individuals has been set at 18.
In addition to collecting bookings data, we collect anonymous information such as the number of visitors to our website hebecottage.co.uk.

How long will we keep the information?

We retain the information you supply for your booking, including your personal information, in order to complete our tax returns and will retain this information for 7 years in order to comply with HMRC regulations.  Where we obtain professional advice to support our tax affairs we will share your name only with our tax advisors.
If you have provided us with your bank account details we will use this to refund the applicable damages deposit through entry onto our bank’s online banking system.  We will destroy hard copy and electronic back-ups after our 7 year retention period. 

Who will have access to my data?

We will treat your data with care.  We pass your name to our cleaning, maintenance and support partner who services the cottage so that in the event that you require assistance they will respond to your request.  Other than this, and as noted above in relation to tax advice and returns,we will never pass your personal information to another organisation without your agreement.

How will we keep your information safe?

Information is held on our computers and back-ups.  We hold all electronic data in password protected email, accounting and on-line banking systems.  Hard copy information is stored in a secure location. 
Information entered onto our hebecottage.co.uk website booking form is not saved or stored on the host server.
